Job Summary:

As an Executive Assistant at Playvox, you will bring efficiency and productivity to the C-level executive team with your communication and organizational skills. In this role, you will handle a wide range of administrative tasks and juggle diverse responsibilities. You enjoy working in a diverse, multi-cultural environment at a high growth company. Our business is global and the work day may start early and end late. This position reports to the Chief Operating Officer.

Responsibilities:

Provide sophisticated calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.

Complete a broad variety of administrative tasks that facilitate the ability to lead the organization, including: assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.

Serve as the primary point of contact for internal and external constituencies, including matters of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect the company’s style and organization policy.

Coordinate logistics and organization for Executive Team meetings and retreats and assist with staff meetings and events as needed.

Liaise with other teams within the company and external parties to ensure efficient workflow and handling of internal requests.

Track and monitor pending business issues for follow-up and execution.

Perform other administrative duties as assigned.

Qualifications:

3 to 5 years experience providing direct support to executives at a high growth company

Excellent writing, communication and collaboration skills

Adaptable and resourceful in a dynamic environment

Enjoy the details, attention to the fine points with strong problem-solving and planning skills

Requires Fluent/Native English. Spanish a plus.

Self-starter and independent thinker: can take even the smallest project and run with it to the successful completion.
